Employee Password Policy
For purposes of this policy, the term "employee" refers to any individual who is employed by SVSU in a capacity other than student employment. The term "non-SVSU employee" refers to any individual whose association with the university entitles them to have access to certain technology services, such as Aramark employees.
Username Lookup
- Employees may find out what their technology access id or Username (sometimes referred to as User ID or Login ID) is by utilizing the web-based ID lookup screen at http//www.svsu.edu/lookup. Usernames typically consist of the employee's first and middle initials, plus the first six digits of the employee's last name. This Username can be used to access services such as the employee's SVSU email account via "GroupWise" (email address is in the format username@svsu.edu), the employee's Novell network account (for utilizing office microcomputers) and Cardinal Direct. - "Non-SVSU employees" will be told their username after submission and processing of an IT Services Technology Access Special Request Form.
Password Reset/Change
- Employees may utilize the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to reset/change and synchronize their password across all systems to which they have been granted access. Successful usage of this screen requires the employee to know the last four digits of their Social Security Number, the last seven digits of their Employee ID (identified on their SVSU ID Card as id #), and their date of birth. Employees who do not know their Employee ID (have not obtained or have lost their SVSU ID card) need to bring picture ID to the Office of Human Resources to obtain their Employee ID.
- "Non-SVSU employees" can utilize the password synchronization screen by using the SVSU ID number assigned to them by IT Services.
Initial Password
- As employees and "non-SVSU employees" are granted access to systems (see the Employee Technology Access Policy at http://www.svsu.edu/its/policies/emptechaccesspolicyoverview.html for details) their initial passwords for those systems are set to an undisclosed value.
- Employees who are granted access to the Colleague system will be told their initial Colleague password after submission of a Colleague User Access Request form to IT Services Operations.
Initial Password Change
- After employees and "non-SVSU employees" are granted access to systems, in order to log into these systems for the first time, employees must utilize the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to reset/change and synchronize their password across all the systems they have access to.
- Employees who are granted access to the Colleague system will know what their initial password is and will be required to change their password upon first login to Colleague.
Subsequent Password Changes
- Once employees and "non-SVSU employees" have utilized the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to reset/change and synchronize their password across all the systems they have access to, any subsequent password changes may be performed using the password synchronization screen.
- Employees who are granted access to the Colleague system may change their password to the Colleague system by using the password change routines available after logging into the Colleague system.

Starting in June 2007, all network (e-mail, VSpace, Cardinal Direct, and VSpace) passwords will expire on or about February 1st, June 1st, and October 1st. This only affects current employees. Retirees are not affected by this policy.
Password Forgotten
- If employees and "non-SVSU employees" forget their password to any system, their password can be reset by utilizing the web-based password synchronization screen, at https://www.svsu.edu/changepassword.
- Employees who have access to the Colleague system and have forgotten their Colleague password need to bring picture id to IT Services Operations or confer with their supervisor regarding any special procedures in place for getting their password reset.
