Employee Password Policy

For purposes of this policy, the term "employee" refers to any individual who is employed by SVSU in a capacity other than student employment. The term "non-SVSU employee" refers to any individual whose association with the university entitles them to have access to certain technology services, such as Aramark employees.

Username Lookup

  • Employees may find out what their technology access id or Username (sometimes referred to as User ID or Login ID) is by utilizing "Search for Faculty/Staff" option of the online SVSU directory,  and search for their name. The username is the part of the email address preceding the @svsu.edu. Usernames typically consist of the employee's first and middle initials, plus the first six digits of the employee's last name. This Username can be used to access services such as the employee's SVSU email account via "Vmail" (email address is in the format username@svsu.edu), the employee's Novell network account (for utilizing office microcomputers) and Cardinal Direct. 
  • "Non-SVSU employees" will be told their username after submission and processing of an IT Services Technology Access Special Request Form.

Initial Password

  • As employees are granted access to systems their initial passwords for those systems are set to an undisclosed value.
  • As "non-SVSU employees" are granted access to systems their initial passwords are set and provided to them.
  • Employees who are granted access to the Colleague system will be told their initial Colleague password after submission of a Colleague User Access Request form to IT Services Operations.

Initial Password Change

  • After employees are granted access to systems, in order to log into these systems for the first time, employees must utilize the "One-Time" option on the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to initially set their password and 3 challenge questions/answers. This will synchronize their password across all the systems they have access to. Employees will need to know their Username, SVSU ID number, last 4 digits of social security number and birth date to initially set their password. Employees who do not know their SVSU ID number need to bring picture ID to the Human Resources Office, Cashier's Office, off-campus administrative office or the IT Services Support Center, to obtain their SVSU ID number.
  • After "non-SVSU employees" are granted access to systems, in order to log into these systems for the first time, they must utilize the "Password Change" option on the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to initially reset their password and set their 3 challenge questions/answers. This will synchronize their password across all the systems they have access to. They will need to know their Username and current password to do so.
  • Employees who are granted access to the Colleague system will know what their initial password is and will be required to change their password upon first login to Colleague.

Password Change (Current Password Known)

  • Employees and "non-SVSU employees" may utilize the "Password Change" option of the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to change their password and synchronize their password across all systems, to which they have been granted access, if they know their Username and current password.
  • Employees who are granted access to the Colleague system may change their password to the Colleague system by using the password change routines available after logging into the Colleague system.

Password Change (Forgot Password)

  • Employees and "non-SVSU employees" may utilize the "Forgot Password" option of the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to change their password and synchronize their password across all systems, to which they have been granted access, if they know their Username and 3 challenge questions/answers.
  • Employees who have access to the Colleague system and have forgotten their Colleague password need to bring picture ID to IT Services Operations or confer with their supervisor regarding the procedure for getting their password reset.

Password Change (Forgot Password and Forgot Challenge Questions/Answers)

  • Employees and "non-SVSU employees" who need to change their password and have forgotten both their current password and challenge questions/answers, may contact the IT Services Support Center in-person or via phone. If they can provide proper ID verification information, their password will be reset and a new password provided. They can then utilize the "Password Change and Update Challenge Questions/Answers" options of the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to change their password and 3 challenge questions/answers.

Challenge Questions/Answers Change

  • Employees and "non-SVSU employees" may utilize the "Update Challenge Questions/Answers" option of the web-based password synchronization screen, at https://www.svsu.edu/changepassword, to change their 3 challenge questions/answers, if they know their Username and current password.
